
This form is for Mallard Place property owners who rent out their properties. Please complete it to notify RIPA Residents Society of a change in tenancy at your property.
This notification helps us keep accurate records and ensure a smooth transition for the outgoing and incoming tenant.
When you inform us of a change, we will:
- Provide Outgoing Resident with the Outgoing Resident Checklist.
- Schedule deletion of Outgoing Tenant user profile(s) on mallardplace.org.uk, who are registered to your address.
- Automatically disassociate Outgoing Tenant vehicle details with the Parking Disc for the property.
- Schedule delivery of Welcome Letter and Website Invitation Codes for your Incoming Tenant.
- Provide access for Incoming Tenant to the Mallard Place self-service portal (mallardplace.org.uk).
- Provide Incoming Resident with the Incoming Resident Checklist – they will be required to complete the workflow on My Profile.
- You need to ensure the Incoming Tenant has their Red & Green parking discs and a pool key.
Having up to date contact details is vital, it means RIPA Residents Society Ltd know who to contact if there is ever a problem or when maintenance takes place where contractor access may be required. It also enables correct management of the shared facilities for example parking and pool.
Important Notes for Property Owners:
- Property owners must provide the contact details of both the tenant and their managing agent through the Tenancy Change form.
- Property owners must ensure their tenant has signed the Direct Agreement.
- Property owners must ensure their tenant has registered their vehicle for parking in communal spaces.
